Payroll Department

The Payroll Department prepares and processes the payroll checks for participant’s employees. They review the time sheets submitted by employees for accuracy and then they calculate the amount of pay earned, determine the proper withholdings, and write the payroll checks or make the payroll direct deposits. Time sheets may be submitted by Fax, Mail or E-mail.

These employees prepare the “Medicaid HCFA Billings” forms, either in paper or electronic format, including spreadsheets, Netwerkes, Ezclaim, Sentri, CHIP, ODIN, Encompass, CareLink, Provider Access and FOCUS programs. These forms are necessary to report the service costs to the community mental health finance department. The billing department tracks the number of service units provided by the employee, by each of the approved Medicaid billing codes and then spreads the service costs out over the units and reports the units by day.

Reporting and Taxes

Every time there is an employer/employee relationship there are required payroll registrations, tax forms, tax payments, and insurance reports. This department is responsible for the completion of these forms and reports. They also respond to requested communications from the Internal Revenue Service (IRS) and the Michigan Department of Treasury.

Representative Payee

This department provides general, every day assistance to our clients as well as helps maintain an organized and friendly atmosphere within our office. They’re responsible for keeping our internal procedures in check. In addition, they distribute payroll, file and organize time sheets, keep participant personnel files updated, and play a large role in the initial set up of participants in the program.

Training and Personnel

The department monitors employees’ files for all necessary employment documentation. They track all required trainings and certifications using each CMH’s individual standards. They also verify employment eligibility with the Federal E-Verify Online System and where contracted, and also conduct criminal background checks.
